Worship Ministry Administrative Assistant

EMPLOYMENT STATUS: Non – Exempt, Hourly – 12 Hrs/week

REPORTING TO: Director of Worship and Music (WMD)

SUPPORTING: Provides administrative support to Director of Worship and Music

POSITION OBJECTIVE:
To serve the church by providing administrative support to Director of Worship and Music.

PRIMARY DUTIES AND RESPONSIBILITIES:
A. During the Week
a. Assists with the following tasks related to the Worship Ministry:
i. Room reservations;
ii. Order office supplies for Worship Ministry;
iii. Printing and copying materials for rehearsals and events;
iv. Maintains electronic and office filing system for music (choral and praise song library) and other documents;
v. Maintaining budget spreadsheet and expense tracking, and processing WMD’s credit card and expense reimbursements and other check requests.
vi. Collaborates and communicates with volunteers via email, phone calls, or surface mail, when necessary;
vii. Maintains accurate directory of volunteers and independent contractors in the different Worship ministries (hospitality team, praise band, choir, etc.);
viii. Maintains Worship Ministry folders on server;
ix. Occasionally help create ProPresenter (media presentation software) playlists;
x. Sets up, coordinates scheduling, and uploads materials pertaining to Sunday services through Planning Center.
b. Assist in other miscellaneous projects and, assisting Choir Director, Audio/Visual Coordinator, and possibly Organist, for special events or projects.

B. Other
a. Is primary contact for WMD when Director is out of town. Screens and responds to calls and emails/mail while WMD out of town.
b. Assist with preparations for special services/events/trainings. (Attendance to Lenten, Holy Week, Easter Services, Christmas Eve Family Pageant and Candlelight Service, preferred, but not required.)
c. Occasionally assist in person for Worship related events/meetings.
QUALIFICATIONS & QUALITIES:
• Proven administrative or assistant experience
• Excellent time management skills and ability to multi-task and prioritize work
• Attention to detail and problem solving skills
• Excellent written and verbal communication skills
• Strong organizational and planning skills
• Proficiency in MS Office Suite.
• Proficiency in Planning Center and ProPresenter preferred, but not required.
• Occasional availability to work on Sunday mornings, as mutually agreed upon in advance.
• Ability to read music, strongly preferred.
• Discretion and confidentiality required.
• High School Diploma required.
• Bachelor’s degree preferred.

REVIEW OF PERFORMANCE AND COMPENSATION:

An annual written review of performance will be conducted by the Director of Worship and Music in conjunction with the Personnel Ministry Council. An annual review of compensation will be conducted by the Personnel Ministry Council
