Church Office Administrator – First United Church, Oak Park, Illinois

First United Church of Oak Park is seeking a full-time Church Office Administrator for its staff. This key staff role is responsible for ensuring the Church operations run smoothly, efficiently, and effectively while serving as the central point of contact for the Church’s congregational members, volunteers, mission and other institutional partners, and vendors. He/she/they coordinate the use of the Church’s facilities with multiple internal and external stakeholders. The Administrator manages the Church’s information systems and technology and provides administrative support to the pastoral and other Church staff. This role works closely with other key staff in coordinating and supporting the work of the Communications Administrator, Manager of Building & Grounds, and Finance Administrator.

Major Duties and Responsibilities

Office Management

  • Purchase office supplies and administer the budgets for office expenses, supplies, and equipment
  • Manage leases and repair and maintenance contracts for office equipment; be the interface to office equipment vendors and manage their efforts
  • Manage systems for information sharing and shared work platforms; be the systems administrator
  • Provide leadership in identifying and implementing technological advances to advance efficiency in operations
  • Administer HR procedures and documentation for new employees and tracking of employee sick time and vacations
  • Maintain and ensure an up-to-date database of Church membership; serve as systems administrator
  • Provide reporting of membership and other data as requested

 Facilities Management

  • Serve as the point person for mission partners and other groups using Church facilities
  • Administer the Church’s policies for building use, ensuring updated agreements and compliance with insurance requirements
  • Maintain events calendar and ensure needed set-ups for events
  • Work with the Manager of Building & Grounds to coordinate with contractors, architects and others in repairing, maintaining, remodeling and equipping the Church facilities
  • In coordination with the Manager of Building & Grounds and Team, administer the building and ground budget for utilities, repairs and maintenance, and supplies and equipment
  • Supervise the work of daytime custodial staff.

Financial Management

  • Review and approve all requests for purchases and checks
  • Open and review monthly bank statements
  • Receive updates on the status of elements of Church budgets as needed.
  • Execute assigned financial receipts duties and responsibilities

Support of Church Staff and Volunteers

  • Coordinate with staff and volunteers to ensure sufficient resources and support for planned activities
  • Provide administrative support for pastoral, other Church staff, and Council as requested
  • Maintain calendar of liturgical events to aid staff planning
  • Serve as liaison to Church teams as directed by the Lead Pastor

Expectations for Education and Experience

  • Bachelor’s degree or equivalent experience
  • 5-10 years of administrative experience, preferably in a church
  • Experience as a systems administrator a plus
  • Experience with ACS products (including Realm) and Office 365 a plus

 Hours and Compensation

  • The Church Office Administrator is a full-time, exempt position
  • Salary range is $45,000-$55,000 plus benefits
