Office Manager – The Village Presbyterian Church, Northbrook, Illinois

Job Purpose
The Office Manager recruits, trains, develops ministry teams, and manages both the administrative and volunteer staff to accomplish all office procedures, processes and functions. Special focus on developing ministry teams to promote the efficient and effective operation of the church campus to join in God’s mission.

Key Authorizations of this Position
A. Oversees Church Office and Administrative Tasks
1. Provides direct clerical and administrative support to Senior Pastor and Associate Pastor by managing calendars and assist with assigned projects and weekly tasks.
2. Oversees report preparation and distribution, including annual report, Session and staff manuals, Session meeting packet, monthly statistical reports, worship attendance, annual Session Retreat.
3. Recruits and Trains Volunteers for Welcome Center and acts as the primary receptionist for church campus and pastors.
4. Prepares PCRs for the Administrative expenses of the church.
5. Oversees Human Resource Documentation of the Church:
a. Maintains all confidential personnel files; maintains Paid Time Off (PTO) records and Study Leave/Continuing Education for all staff, Background Checks.
b. Oversees payroll.
B. Congregational Events
1. Facilitates and coordinates church staff and families for details regarding weddings, funerals and baptisms so the events run smoothly including bulletins for memorials and weddings.
2. Coordinates memorial wall leases, works with Memorial Garden Committee as needed, and makes sure the slabs for the garden are done in a timely manner.
C. Communication
1. Creates all bulletins and announcement slides for worship services.
2. Assist in compiling and distribution of church mailings, newsletter, and other correspondence including confidential financial giving and quarterly thank you mailings.
3. Assembles and distributes Monthly Budget Reports to council chairs.
D. IT and Database Management
1. Works with Blue Data regarding computer upkeep.
2. Manage church calendar, room reservations and exterior door scheduling.
3. Oversees and trains staff for Microsoft 365.
4. Acts as administrator for ACS database and implements regular maintenance of database (People Suite), updating member records, address changes, and assists rolls committee when necessary.
E. General Office Support
1. Turns on Communication Monitors.
2. Secures campus and locks all doors at night.
F. Perform other duties as assigned

EMPLOYMENT CLASSIFICATION: Exempt
PAY SCALE: Salary
BENEFITS: Yes
NORMAL WORKING HOURS: 40 hours/week, Monday-Friday 8-4.
Reports To:
1. The Senior Pastor for general supervision and to the Personnel Committee for any concerns related to the position. He/She will be evaluated per the performance appraisal policies and procedures of The Village Presbyterian Church.
SUPERVISES: Part-time Administrator-Office Manager will have the ability to influence the responsibilities of this position in coordination with the Senior Pastor and Personnel.
